Senior
Secretary:
Reports to : Program/Project Manager
Supervises: NA
Location: Washington Metro Area (includes Northern Virginia,
as well as Bethesda and Suitland, MD)
Education Required:
A College degree is preferred. Relevant work experience may be substituted
for educational requirements.
Responsibilities:
- Providing administrative support to Mid Level and Executive Level
Management to include:
- Maintaining calendars
- Conference preparation and setup
- Time and attendance
- Preparation, editing and coordination of correspondence
- Advise Secretaries in subordinate office on procedures and coordination
of effort.
- Answer phones, greet and assist visitors in a professional, friendly
manner
- Ensures that
- Assigned administrative tasks are completed in a timely and professional
manner in accordance with priorities
- Filing is performed promptly and accurately
- That administrative records are well organized and maintained
as required by regulations and established office policy
- That office supplies are properly maintained and available
- Perform accurate typing of correspondence
- Enter data
- Handle logistics related to travel and meetings
- Perform administrative functions necessary for a smooth business operation
- Must be able to work under short deadlines
Experience, Skills and Background required:
- The Senior Secretary must be a calm, well-organized, detail-orientated
professional who can work well under tight deadlines, with multiple
tasking, and able to handle a large volume of work
- The Senior Secretary must work effectively with a wide variety of
personnel (ranging from senior managers to entry level)
- A minimum of three years relevant work experience supporting executives
is desirable
- The individual should have a minimum three years experience in Defense
Travel System (DTS) or equivalent and in Defense Civilian Pay System
(DCPS) or equivalent
- The individual should have a minimum one year experience in PeopleSoft
(preferred not mandatory) and in Defense Property Accountability System
(DPAS) or equivalent
- The Assistant must be proficient in Microsoft Office to include Word,
Excel, PowerPoint and Outlook

Must be a U.S. citizen and able to pass a background check
