Administrative Assistant
Reports to : Program/Project Manager
Supervises: NA
Location: St Louis, MO 

Education Required:
A College degree is preferred. Relevant work experience may be substituted for educational requirements.

Responsibilities:

  • The Administrative Assistant is responsible for providing administrative support to Executive Level Management to include maintaining calendars, conference preparation and setup, and time and attendance.
  • The Administrative Assistant is responsible for preparing, editing and coordination of correspondence.
  • Advise Secretaries in subordinate office on procedures and coordination of efforts.
  • The individual will answer phones, greet and assist visitors in a professional, friendly manner.
  • The assistant ensures that assigned administrative tasks are completed in a timely and professional manner in accordance with priorities; that filing is performed promptly and accurately; that administrative records are well organized and maintained as required by regulations and established office policy; and that office supplies are properly maintained and available.
  • The Administrative Assistant will perform accurate typing of correspondence; enter data, handle logistics related to travel and meetings, and perform administrative functions necessary for a smooth business operation.
  • The Administrative Assistant must be able to work under short deadlines.

Experience, Skills and Background required:

  • The Administrative Assistant must be a calm, well-organized, detail-orientated professional who can work well under tight deadlines, with multiple tasking, and able to handle a large volume of work.
  • The Administrative Assistant must work effectively with a wide variety of personnel (ranging from senior managers to entry level).
  • A minimum of three years relevant work experience supporting managers is desirable.
  • The individual should have a minimum five years experience in Defense Travel System (DTS) or equivalent and in Defense Civilian Pay System (DCPS) or equivalent.
  • The individual should have a minimum three years experience in PeopleSoft (preferred not mandatory) and in Defense Property Accountability System (DPAS) or equivalent.
  • The Assistant must be proficient in Microsoft Office to include Word, Excel, PowerPoint and Outlook.

Special Requirements:
Must be a U.S. citizen and able to pass a background check
